The ideal candidate will be able to effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail. They should also possess a friendly demeanour so they can effectively interact with office visitors and interview candidates. 

  • Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
  • Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance.
  • Ensure the compliance of administration, finance and policies and procedure.
  • Ensure payables are managed smoothly and efficiently.
  • Ensure that transactions are processed on weekly basis in the system and that they are accurate and complete.
  • Maintain workflow by analysing and refining standard operating procedures, such as scheduling, communications, and office layout.
  • Coordinate internal and external resources to expedite workflow.
  • Oversee and achieve organizational goals while upholding best practices.
  • Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.
  • Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms etc.
  • Plan, organize, and schedule company meetings in the office, off-site, and via video conference.
  • Coordinate domestic and international travel arrangements for employees.
  • Maintain filing system, contact database, employee list, and inventory.
  • Order and oversee office supplies and food deliveries for group meetings.
  • Diploma or Graduate Degree
  • Experience with administrative and clerical work Proficiency in Microsoft Office suite
  • Proven administrative experience.
  • Strong communication skills
  • Strong ability to multitask.
  • Friendly and upbeat demeanour
  • Preferable within country with immediate joining.
  • Experience developing internal processes and filing system.
  • Comfortable handling confidential information
